Kronos Workforce Ready Timekeeping

Kronos Workforce Ready is used across the whole organization. We have all of our employees and contractors in Kronos WFR. We bill customers by the hours worked on projects so our employees record hours by project/tasks in Kronos. We use the accrual function in Kronos so employees can request time off and review their time off balances.
  • Kronos WFR does a good job managing our accrual policies once it has been configured.
  • The reporting is better than most timekeeping systems I have used before.
  • Kronos WFR is great for small to medium sized companies.
Cons
  • WFR does not have the Historical Edits feature that Workforce Central has. Once a timesheet has been locked and processed in payroll you should not go back and modify that timesheet. What you need is the ability to make a correction on the current timesheet for a previous pay period so that you can process the correction with the payroll but for reporting you can have the corrected hours reflect in the pay period in which it should have been processed.
  • When reviewing timesheets I would like to be able to lock the timesheets that have been approved and ready for processing instead of having to wait until all timesheets in the pay period have been completed to lock the pay period.
  • I would like to have a sandbox of my system to test new configurations in instead of having to do it in my live system and creating test employees.
Workforce Ready is well suited for small to medium sized companies that do not need a complex tracking system for projects. I would not recommend Workforce Ready for large manufacturing companies. Kronos Workforce Central is more suited for large companies that have more complex tracking needs.

We use the full suite to manage our external contingent workforce. The customizations on time and onboarding are critical to the services we sell to our clients. We do have some system limitations due to our unique staffing needs. Most have been resolved by customizing the system, but we have not been able to resolve processing past pay period timecards and bypassing logins for our external timecard approvers.

Cons
  • I would like to be able to process past pay period timecards. In staffing, we need to be able to process a prior pay period timecard with the current timecard. This is impossible.
  • Modernizing onboarding to include video tutorials, and a better UI as workers get stuck a lot [...] requires a lot of IT troubleshooting from my HR team.
  • I would like it if it could modernize the branding opportunities. We have to use noreply@kronos.com in order for our reports to be received. We can't include images in messages/notifications unless they have a URL from an image hosting site [that] is outdated.
The system is great if you need to automatically assign different onboarding packages. We have to segment our workforce on several levels and the cost centers allow us to do this easily. Reporting is very user-friendly so an HR admin can do a lot in the system without needing to have IT coding experience like other HRISs. This system is good for a standard client company that is not super cutting-edge. A cutting-edge company would not be satisfied with the outdated system functionality as updates to the system are mostly [aesthetic] and do not address a lot of California compliance ideas that have been submitted in the community for years.

May be better suited for other companies, we had many complications.

We recently upgraded our Kronos system from TKC to Workforce Ready. At this time we only use the system as a time keeper, our payroll is done through a separate program. It is used to keep time for employees throughout the entire organization. It addresses our need for timekeeping. We also use the Kronos Workforce Ready system for CMS payroll-based journal data submission.
  • Has the capability to collect and store a lot of information.
  • Customizable.
  • Keeps time decently.
Cons
  • Can be overly complex for our current needs.
  • At times will not correctly keep time within pay periods. Not sure why this happens but an employee's Sunday shift will roll back and tie in with his/her Saturday shift. Our pay periods end on Saturday, however in a couple of cases the employee has been paid for Sunday in that same pay period - the next pay period will not include the Sunday. The system still documents correct hours but has at times appropriated the hours into an incorrect pay period.
  • We have had MANY issues implementing our pay rules in terms of shift differentials, into our time clock so that it translates correctly to our payroll program.
  • Does not translate well into secondary payroll system.
  • Spent a countless number of hours before AND after our go-live date working with multiple Kronos employees - over the phone - to make sure that our employees hours were being properly allotted to match up with our pay code system. These problems caused many, many issues with our payroll since we have gone live with Workforce Ready.
  • Overall, felt that our initial Kronos "team" did a poor job working on our company's system in order to assure that no major payroll issues would occur. Seeing as the system took over 4 months to prepare, and another almost three months after implementation until we now feel somewhat comfortable that most issues are resolved, in hindsight it seems like we should have looked into other time keeping options since we ultimately rebuilt our timekeeping system from scratch even though we previously had a Kronos system as our time clock program.
May be well-suited for a company with less complex pay-coding. Also may be better suited for a company looking for the entire package, including payroll, time off tracking, etc... It almost seems like it is more difficult to use the minimal capabilities of the program as it does not seem to translate as well as TKC had into a secondary program.

Kronos Workforce Ready is being used across our organization from recruiting and applicant tracking to scheduling and payroll. The purpose of switching to Kronos was to deal with our organization's high rate of turnover (predominantly student employees) and the prospect of future growth and scalability.
  • Promotes employee self-service for completing new hire paperwork and making changes to payroll related settings eliminating administrative burden for a manager to complete.
  • Our previous system could only be changed and updated centrally by a few managing employees. Kronos has given us the ability to delegate this access to a few managers at different branches spreading the responsibility.
  • Kronos has allowed us to move from separate systems for recruiting and applying, scheduling, and payroll to one system that does all of these functions.
Cons
  • Kronos is not always intuitive and can make it difficult to accomplish tasks that were previously simple in our legacy systems.
  • Kronos has too many settings that have to be manipulated, even if your organization is not going to use those settings.
  • Anything can be accomplished in Kronos, but you may have to build it out yourself. Many reports were automatically generated in our legacy systems but we have had to learn how to build those reports in Kronos.
  • I feel like those the sales team for Kronos over promises and under delivers. I believe we had higher expectations going into the implementation and in reality are not much better off than with our previous systems.
Kronos WFR is probably best suited to large organizations with a team of people that can handle the implementation and upkeep of the system. A smaller company with less administrative staff might be better served to deal with a different system.
