Overall Satisfaction with Planview AdaptiveWork

I work in a Corporate Real Estate group and we use Planview AdaptiveWork to manage all of our real estate projects. All resources have access to the system to update progress on tasks and keep track of dates, and progress on the projects. Discussion boards are used to communicate back and forth on projects and we also have many configurations on our back-end to create automation for approvals, population of data in the property cards, etc.

Pros

  • Flexibility in how we as an organization want to track our projects/data.
  • Ability to put together reports for any data point in the system/and create charts as needed for that data.
  • Capacity Planning tracking.

Cons

  • When it comes to reports, it would be great if there was an easy way to roll-up the results instead of having to create configurations to summarize data.
  • The consultant experience has not been great when it comes to more advanced needs for configurations. The consultants are in a different timezone which limits hours to work together and it seems hours are spent trying to determine what the requirement is and when the initial thought is that the configuration is possible, it may result in not being able to assist.
  • Charts in the reports section are not able to be exported
  • When pulling a report together, you need to make sure you pull from the right "item" or level. If you decide you need data that resides in another "item" or level, you need to re-do the report from the beginning.
  • Because the system is so configurable and I imagine different clients use the system differently, when you need something automated in your account, where you need to pull a consultant or SME in, the person doesn't necessarily understand your configurations and how things work so they are unable to give recommendations on how to solve problems that don't impact other configurations you already have set up in the system.
  • Templates cannot be updated unless they are pulled into a project and then re-saved. In the templates module, you are not able to open a template and edit to re-save. Therefore, making updates to a template can be very time consuming having to find a project to use to pull it in, make updates, re-save and then pull out. It would be great if the templates module allowed you to edit the templates and re-save.
  • Planview AdaptiveWork allows us to report out on the status of our real estate projects on a regular basis. We have internal objectives that need to be met for on-time delivery and Planview AdaptiveWork provides us the data to be able to show how the teams are tracking on delivery.
We've created configurations that allow us to automate an approval flow in the system - which saves us time on emailing to get approvals and having those approvals outside of the project data. We've also created configurations that allow us to keep track of risks within projects and pulling in dates that need to be met to keep a project "on track." This is great for reporting out on what is going on with a project and allows insight for all parties to see how projects are trending. We use templates with work efforts programmed in to predict capacity based on the strategy of the project. This gives managers insight into what their folks are working on and at what times so they know who to assign incoming work to.
We have dashboards set up so that folks can see the status of the projects on an ongoing basis along with other key points of data (level of complexity, how many projects are in each phase, milestone status, etc.) We also use dashboards for risk meetings to show themes for risks and any new risks vs. things that are "brewing" but not yet logged risks.
The only integration we currently have is with Power BI. This system allows us to further slice the data and is a little more user friendly - while also allowing everyone within the organization access to the data (even if they don't have an Planview AdaptiveWork license). The struggle with the reporting/dashboards in Planview AdaptiveWork is that there isn't a lot of "roll-up" capability unless you write configurations to summarize. Having the data flow from Planview AdaptiveWork to Power BI allows us to summarize a little easier.
Having a single point of data for projects allows us to keep teams on the same page throughout the lifecycle of the project. The ability to use the templates in advance to predict work efforts is helpful to determine resourcing needs. The approval workflow, although complicated, works to automate and keep track of dates approvals were completed. The system allows us to keep track of on time projects vs. off track projects so we can report out on this to our senior leadership. All the documentation for a project is in one place for the teams to access which makes projects run more efficiently.

If you have a need for tracking projects and keeping the teams on the same page with the status and updates within a project, Planview AdaptiveWork works well. I do like how discussion posts automatically go to folks email addresses and every note is stored within the project. I also like the flexibility of reporting and configurations that can be made. Depending on how you use the system and what your needs are, the configurations can sometimes impact each other and it's not automatically known what the impacts will be unless you read through each configuration that has to do with your problem. It would be great if the configurations were more user-friendly instead of easy for people with configurations backgrounds. It's not always apparent which formula you should use for what you need - and the formula options require some training or some experience in coding to understand immediately. If the configurations could be "dumbed down" a bit and then warnings for impacts to other configurations before being saved, that would be helpful.
