Overall Satisfaction with Notion

1. Knowledge management - All technical, non-technical, legal, or otherwise documents written and stored on Notion. 2. High-level project and product management - Product planning for the quarter happens on Notion, as we usually write down the high-level work items we pick up and prioritize. This is also helpful as the product plan is circulated among the different teams at the companies. 3. Meeting notes - Rough meeting notes and associated recordings are always added to notion trackers to keep track of important meetings and decisions. 4. Customer release notes or customer trackers - Any deliverable we might have for customers, or if we want to track the onboarding process of any customers, the project management is done on Notion by the CSM team.

Pros

  • Project and task management.
  • Knowledge base management.
  • Formatting of documents is easy and beautiful.
  • Export / import of markdown is great.

Cons

  • AI integration - very mediocre implementation, and it doesn't work very well.
  • Clunky and slow desktop/mobile apps - very slow to load large tables.
  • No support for whiteboarding /wireframing.
  • Onboarding time has significantly reduced, possibly up to 70-80%, as new joinees can just be shared required notion documents.
  • It isn't great for project management because of its clunky and slow UI, so we used something else for task and project management on a granular level.
  • Great for document collaboration and writing collaborative product specs.
The only reasons I'm rating it eight instead of 9 or 10 are: 1. It's A way to do faster and more granular project management. 2. In my experience, there is better AI integration, but currently, it is useless. 3. Support for some whiteboarding tools. In every other case, Notion is one of my favorites among all productivity apps.
Notion is simpler to get started with and better for smaller teams and individuals. It also offers good deals as part of the startup plan. Also, in general, Notion has a much more modern approach to its ux, which people personally prefer in the company. Lastly, when we evaluated Notion's alternatives, none of them were as well developed or feature-rich as Notion, other than Confluence.

You can do high-level project or task management on an organizational or personal level. In my opinion, this is not the best way to achieve accountability. The best use case for Notion is knowledge management. You can write your company docs - from product specs to culture docs- and they will always be there to help onboard any new joinees. On a personal level, you can use it to keep track of meeting notes and general thoughts.

Using Notion

40 - Everyone in the organization uses Notion. From engineering, product to sales, marketing, HR ops, every team uses Notion as it is our master knowledge base.
Practically everyone is familiar with how to use Notion. Notion is relatively easy and straightforward to start with. It is the more advanced features and capabilities that remain unknown and need help. Mostly people learn through seeing their peers.
  • Knowledge management
  • Project and task management (especially quarter planning)
  • External documentation
  • As a way to design webpages; had wireframes drawn using various notion elements.
  • Want to use it as a task management but the app is too clunky for that.
We're too settled in the ecosystem and we have no major complaints with it. No reason to move unless you have a burning pain point.
