Quick Simple solution for Indirect Buys.

Use Cases and Deployment Scope

We mainly use Coupa for the procurement of indirect materials and services. The purchases/invoices will be checked for compliance with corporate requirements (e.g., are the Correct Cost elements used, does it exceed the given budget, etc.) and then sent for approval as appropriate, based on the organization's setup and the dollar amount of the requested item.

Cons

  • Handling of multiple currencies and conversion.
  • Support for another language - not just display, but also data entry (e.g., Vendor name in a foreign language).

COUPA IS GREAT BUT NEEDS AI/FULL AUTOMATION

Use Cases and Deployment Scope

We use Coupa for creating PO's, processing invoices and expense reports. The software is used mainly for the procurement team to create PO's and by our A/P team to process invoices as well as other departments in the company to document purchases with company cards and have them approved by all relevant parties.

Pros

  • Invoice processing automation
  • Flexibility in PO format
  • Many ways in allowing for processing invoices with discrepancies.

Cons

  • Full invoice processing automation with AI components to be able to learn how to process invoices with discrepancies
  • Hard to be able to modify to company needs.
  • Found some issues with non-standard data integrations

Pros

  • In my experience with the latest version of Coupa the UI is a disaster

Cons

  • With one particular customer I have had about 40 emails to be accepted as a vendor. With other customers before Coupa became horrendous I had no problems. As an existing Coupa user why do I have to create a new profile?
  • I have been accepted as a user 3 times then a day later Coupa wants the same form filled again and again.
  • Help is only on a chat line. You cannot speak to anyone and in my opinion they are not helpful. Their suggstions have gotten me nowhere. They refer me to talk with my customer to straighten out the problem. My cusotmer doesn't have a clue.
  • I'm considering not to accept purchase orders that require invoicing through Coupa.

Pros

  • Sourcing events can be conducted on Coupa. While conducting the event, each sourcing event has the flexibility to have its own team. An Evaluator can also be added to the sourcing event. In our company different teams do sourcing events and coupa accommodates the sourcing event with its own team.
  • There is a facility to add project and task related information to the sourcing events. This is a good feature.
  • Request for Information, Request for Quotation, Request for Proposal can be created in Coupa sourcing. Coupa has the facility to conduct auctions too.
  • The user experience is great on Coupa. Buyers or procurement team need less training as the software is intuitive.
  • There is a facility to add attachments and text messages in sourcing events for suppliers to see and respond.

Cons

  • As I hear from finance department, Coupa does not support full-fledged accounting.
  • Coupa does not have projects accounting suite. For project driven organizations, this may be a challenge.

Return on Investment

  • Coupa has reports on savings achieved with sourcing events. This way savings can be measured and the performance of each sourcing team can be measured.
  • Coupa Self service procurement supports punchout. This way a targeted store can be maintained by supplier for our company, where the catalog is maintained by the suppliers. This reduces catalog maintenance work for procurement team, who can now focus on other value added tasks.
  • Coupa supplier portal helps in reducing the workload of accounts payables team. With coupa supplier portal suppliers can flip the purchase orders into invoices with few mouse clicks. This way invoices are automatically matched to the purchase orders. This way, instead of keying the invoices manually, accounts payables teams can focus on value added tasks like invoice hold resolution, reconciliation, audit, analytics etc.
