We use Stampli as a means to augment our AP data entry as we went from 1.5 employees down to .5 employees dedicated to AP. We have a high volume of invoices for the staff time allocated to AP, and Stampli has made it very manageable.

We use Stampli to have a more robust and meaningful invoice approval process than we had prior.

We also use Stampli Direct Pay, which has saved us hours of time each week that had been spent printing, signing, stuffing, and stamping vendor payments.

Cons
  • Only 1 template for vendor onboarding--we have multiple vendor "types" that would benefit from having tailored invites to the vendor portal
  • The software doesn't locate invoice details (such as invoice total) after the 1st page
  • Invoice discrepancy reporting could be easier and more robust
Stampli costs about the same as 1/2 an AP salary, but it can easily replace 1 or more headcount. AP has been a difficult position to fill over the last several years, and the quality/accuracy of the work seems to have declined at the same time. Stampli can reduce the time spent on data entry down to seconds per invoice, and it gets the basic info entered accurately before AP staff even looks at it. It can handle PO match invoices better than our ERP system (which it integrates with).

Stampli is an AP automation software first, whereas the other options we reviewed were a payment processing service that included AP automation.

The Stampli user interface is modern and easy for everyone in the organization to use.

Other options we reviewed had a "Pay for Service" model where a monthly charge would move you to the front of the line, whereas Stampli customer service (which is awesome) is included in the cost.

Stampli was the superior choice on every feature, their sales team was more engaged, and the cost was basically the same for every option. It was an easy choice and we're glad we made it.

It's so intuitive, we just have one point person to answer questions from users. It did not require any special training beyond what was received during implementation. The Stampli support team (when needed) responds within minutes.

I cannot imagine going back to pre-Stampli processes. Our jobs in the Accounting department (not just AP) have all become more engaging because we've cut out so much mindless, non-value added work: data entry, signing checks, stuffing envelopes, stamping envelopes, etc.

We were doing AP entry in Netsuite. Netsuite was a step up from our previous system (Accounting Seed in Salesforce) because it allowed us to easily attach a PDF to the invoice entry. But Netsuite wasn't fast, it was difficult to track invoice approvals, and getting to that attached PDF was not intuitive.

All the other AP automation software that we looked at all did the same basic functions. Stampli had the cleanest, easiest to use user interface, and we needed to be sure our non-Accounting staff would be able to use it effectively to approve invoices.
We lost an AP employee right as we were deciding to implement, so we had to speed up our timeline. We went from signing the contract to fully functional system within 4 weeks. We did not dedicate any more than 4 hours per week during the implementation.

Change management was a big part of the implementation and was well-handled
We probably over-trained and over-communicated Stampli to our non-Accounting users. It's so easy to use that most users had started using it before coming to a training session.
We have a dedicated rep (who was also our implementation rep--they stay with you after implementation) who we can email whenever needed and meet with every quarter. There is a chat option within the software that gets responded to by a real person within minutes.
There was not an option to purchase premium support.
We have a unique issue of paying over $600 to individuals as a reward for referring customers to us, so we need to collect W9s before we can issue payment. This program has ballooned from several dozen to several hundred payments, and W9 compliance has been difficult to manage. Our Stampli rep worked with us to come up with a solution using the Stampli vendor portal after our referral software vendor basically shrugged their shoulders (even though they acknowledged that several of their customers were having similar W9 issues).
It's a modern product with easily recognizable functionality. The user interface was the main factor in our decision of Stampli over it's competitors.

Stampli is currently being used by the fiscal department as a digital storage cabinet for purchase approvals as well as coding of invoices. The management of the organization also uses Stampli to approve departmental invoices and ask questions of vendors all within the Stampli portal.
  • Stampli does invoice coding and tracking very well. Coding and invoice images are side by side, giving the user plenty of screen space to see image details.
  • The middle audit trail pane is fantastic for following up on any issues with vendors or communication between approvers and data entry.
  • Stampli dashboards are great for recording KPI information. It helps keep our employees accountable for data entry as well as helps make sure that payments are being made on time.
Cons
  • Honestly it's hard to find anything wrong. All of our feedback is valued and 50% of the time our feedback results in an actual change in the platform.
Stampli is well suited for organizations with multiple approval structures and definitely for organizations with multiple locations. With the central audit trail pane, communication between employees, vendors, and approvers is clear and easy to follow. If your organization is trying to reduce the amount of filing and paper being used, Stampli is great for pulling audit supporting documentation.

Stampli's ease of use far exceeds that of Bill.com or Divvy. Almost every click is recorded in the audit trail and navigating within the portal is intuitive. Each tab is set up in order to follow the process flow, making even the newest of users comfortable.

Stampli is mainly used by our accounting department, but the approval feature of invoices is used across our entire organization. Stampli is an Accounts Payable management and automation tool. It allows us to manage the approval of our bills for payment with the various departments within our organization and also integrates with our accounting system to automatically enter the bills. It is also a payment tool that allows us to pay our bills through Stampli.

  • AI sometimes doesn't seem to learn as efficiently as we would like
  • ACH payments can take up to 3 to 5 business days after processing which is too long for some of our processes
  • It would be nice if the system also included a copy of the invoice in the integration rather than just a link to the Stampli website.
Stampli is a great AP automation tool. In processing hundreds of invoices a month, the AI (artificial intelligence) is very helpful in automatically pulling data from the invoice into the system's fields. It directly integrates with our accounting system (currently QuickBooks Online but will also integrate with our new system Sage Intacct). It gives a link in our accounting system that allows us to quickly go to the invoice in Stampli. It allows us to make sure we have approval from various departments before paying our bills and helps us manage communication when there are issues with bills. If you don't have too many bills to track or have to manage approval from different departments in an organization, this solution would not be needed.

We selected Stampli due to the OCR and AI technologies that captures invoice data in real time plus the easy user interface. In comparing the two systems Stampli just appeared to outperform Bill.com.

I am responsible for the ordering of supplies for several departments. Stampli helps me keep the department orders organized. It also sends me reminders allowing me to process invoices to corporate in a timely manner.

Cons
  • Provide more description on what items were purchased when trying to marry invoices up with amounts listed. Currently it only shows the vendor and not the item.
  • Allow better access to previous invoices. That may be available, and I just may not have privileges.
My experience with Stampli has been positive. Other than just a couple of suggestions listed earlier, there is nothing more that I would like to add. It is an easy and efficient program to use. I am more organized since using Stampli.

The system is incredibly intuitive, easy to deploy, use, and integrate with Sage Intacct. The Stampli team listens to their customers, continually upgrades the product, has impeccable customer support- probably one of the best I've encountered in my 30 years' experience as a vendor and customer. The Customer Sucess team is very knowledgeable in the Accounts Payable space, schedules system optimization meetings to help our AP team understand how we can better utilize AP automation based on system usage metrics.
