Our customers have a lot of documents for customers and product specifics. And managing them in a directory or at some storage was very difficult. And we also have many documents which are managed and updated frequently across the globe. So using OpenText Documentum our clients' requirements were fulfilled. And managing this content is very easy and due to availability on the cloud as well it really helps other aspects like availability as well as reliability as well. And controlling information of this content was also one of the purposes of having this product.

Pros

Compliance is one of aspect where OpenText Documentum helps really well.
Security is one of the key aspect and OpenText Documentum works really well as presence of documents are across globe so this works really well.
We have used Core DMS as well which has many features like Administration, Content Transformation Services, etc.

Cons

Performance is one of the area where improvement is required.
Faster search and uploading files.
UI design can be upgraded.

Likelihood to Recommend

Overall it is a very easy tool to manage content and documents. However, it requires a little effort to learn. And imaging, Core DMS, BPM module we can use easily. One of the best reasons is to have this i.e security and version history along with a comment feature which makes it better.

Use Cases and Deployment Scope

OpenText provides for the automation of invoice verification, automated invoice data field processing, management, approval routing, and check processing with SAP on the backend. Specifically, OpenText ECM provided the workflow, group, and role-based controls to streamline and automate the process of Accounts Payable by allowing an automated bridge between OCR and image scanning, and processing the data collected from these steps by intelligently foldering, permissioning, routing (via workflow) and processing for errors.

Pros

It's good at integration with external systems through standard industry supported APIs, including but not limited to web services integration and file system integration.
Good support from major up and downstream technologies such as image capturing and back end ERP, Database, and HR.
Highly configurable.
Very fast searching capabilities.
Highly scalable.

Cons

Better market penetration and streamlined licensing.
Better documentation and training offerings.

Use Cases and Deployment Scope

We use it as a central repository for our documentation. Documentum provides secure storage for all our documents. It provides granular level details and gives ACL at an individual as well as group level. These documents include our application packaging documentation, for example, application technical design. we maintain versioning and other organization-wide requirements via documentum.

Pros

Role-based security.
Imaging, publishing and file sync & share.
Version control.

Cons

Sometimes its cumbersome to integrate with MS products like Outlook etc.
Can use better documentation and help menus.
Add ons.

Likelihood to Recommend

Probably not the best solution for a smaller organization. But definitely for any medium to large organization, this has to be one of the top document storage solutions out there.

Use Cases and Deployment Scope

Currently, I am not using Documentum. However, in the past I have used Documentum, supported Documentum, implemented Documentum, architected, developed against, etc., Documentum. Documentum is at its best, my opinion, as an DM (Document Management) solution. It is the best place to create and store your content for the enterprise. It may be a source of content for web publication but I would not use it for that primary purpose, there are better tools and better enterprise solutions for marketing content (which is the obvious use for publication of content as opposed to content that is used to run the enterprise). Documentum can address most every other enterprise content solution with depth and utility, it is the solution for big needs like being able to manage billions of content objects (usually documents) that need to be FTI (Full Text Indexes - ability to search inside the documents), to scan in 100k+ documents/invoices per hour, and to transform, organize, workflow/BPM, etc. your content. It does Records Management and has a long successful history of that (meaning less chance of fines from failing regulatory requirements). Arguably, it is the most robust and heavy duty ECM I have worked with and it not easily replaced by any of the middle tier solutions or the new, BOX/Nuxeo/Mfiles solutions or the older WCC/Stellant.

Pros

Secure storage of billions of documents using precise ACLs to control access across multiple tenants, groups, users, etc. No other system I know of can do this as well for as large of systems. Security can be refined from one person to the entire enterprise OTB.
Integration with other EMC/OT solutions. Assuming this is still true post-OT acquisition, Documentum has over a 100 add-ons that integrate with the core solution to expand the solution to include scanning, document processing, forms, email, etc.
Searching. xPlore is one of the best FTI tools on the market and it is integrated well with the Documentum solution. Other systems use excellent search tools, Elastic/Lucene/ being good examples of that, but their integration is questionable. Older systems, like WCC, are still using antique search tools OTB and require integration with the newer search tools.

Cons

Expense. If Documentum costs less it would penetrate more markets. This is often the reason a lighter weight solution is chosen.
Web Publishing. Documentum is not a great solution for replacing CMSs like SiteCore or Drupal. Probably better as an archiving target for parallel publishing to both web and Documentum. Documentum is also not a web hosting solution like some other systems, it is possible to try and consume directly from the repository in real time but it is better to push web content out and consume from another platform.
Development. The price of broad functionality is complexity. Arguably, Documentum drank the kool-aid and tried to become like other enterprise solutions by adapting Java, Windows, etc. in the late '90s and it made them slower, more complex in design, and less stable. They recovered from that but it still requires developers with a few years of experience in Documentum to safely develop in Documentum. The issue is not knowing Java but knowing what to do or not do in an ECM system. This is even more important in regulated ECM/RM systems.

Likelihood to Recommend

Documentum is best used in medium to large institutions that can afford it, have alternate solutions for web publishing, and who have either in-house developers or can hire good Documentum developers (not the ones who know Java but do not understand ECM). It is, in my opinion, the best heavy duty ECM solution out there, assuming OT is not gutting it as we speak. That is my only hesitation to not giving it a 10, OpenText is an unknown quantity in this and I worry that they will only support Documentum until they have figured out how to fill the gap between Documentum and OT and then offer a migration path to OT with a Documentum sunsetting as an incentive.

In our organization, EMC Documentum is used in 10+ departments. We use Documentum's case management system to process the documents received from our advisors. We use the scanning solution to scan documents into Documentum and they are moved in different stages of the workflow (approval process). We also Integrated Documentum with a couple of vendor/home-grown systems. The business process automation and using workflows helped us to reduce manual work.

Likelihood to Recommend

Documentum is very well suited in an environment where there is a need for compliance and security. It is compliance-approved by government agencies, which frequently makes it a software of choice for compliance purposes. It has very strong integration interfaces with other enterprise systems. It has one of the industry's best workflow systems. It allows so much customization and extensions for customers that upgrade (it becomes an expensive affair). If customers are expecting a high performance, this product is not suggested.

Use Cases and Deployment Scope

EMC Documentum was used across multiple departments in IT and also used as a Content Management and as a Web publishing platform across organization.

There are two instances of the Documentum:

1. One for the content management acting as Enterprise Content management across IT, where users store the documents, content for daily usage.

2. Another instance was used as a Web Content Management, where users create the site pages and publish the pages to the external corporate web site.

Multiple other content management systems got migrated to EMC Documentum because it solved the below business problems:

1. Security - Documentum provides tight security with granular level of maintaining the permissions on the content assets

2. Archival and Content Disposition: Content Disposal or archival is easy with Documentum

3. Records management: Legal and InfoSec documents maintenance is easy with Documentum using Records features.

4. Workflow management and Audit

Pros

Records management: Compared to other content management systems, this provides a efficient and scalable solution. It gives lot of flexibility in managing the content as Records or Legal holds.
Workflow system has external plugins to connect with FAX, Mail, Database and FTP servers etc. which gives an option to integrate with any system with documentum.
Creation of websites and maintenance is easy. Content authors can create the pages with effective mechanism.

Cons

Dependency on the java on browser for documentum clients is sometimes painful
Documentation and support site search is not user friendly

EMC Documentum is very well suited if you have large number of content and user base is high.<br id="null"><br id="null">This product is very scalable compare to others. <br id="null"><br id="null">Not suitable for small companies because of cost and number of installations.

Use Cases and Deployment Scope

EMC Documentum ECM products are being used across the company I am currently assigned as consultant. It is used globally within the company, and primarily for archiving/storing data, applying retention and managing content within the Research and Development department. It addresses problems of managing content for easy retrieval, storage, applying retention - the whole document life cycle.

Pros

For transaction based content management, xCP product from Documentum product suite works excellent, supporting easy and fast development, huge throughput and integration with other products, like scanners etc.
Documentum Content Server is probably the most robust and most advanced in the ECM field, which does an excellent job out of the box but provides much of extensions to be developed for specific client needs. Yet, for companies that don't require so many features, there are definitely cheaper solutions that gets the basic ECM work done.
Newly changed interface approach for xCP and D2 products are quite appealing to customers and very fast, when in comparison with web based applications. Yet, with Documentum 7, even wdk is faster and more robust.

Cons

WDK framework has been the biggest drawbacks from the application speed point of view, as well as client complexity and not so natural look and feel. Yes, with the latest releases much of these features are improved.
EMC is very expensive to buy, own and support, where some products require many dependent Docuemntum products to be installed to work at its best.

Likelihood to Recommend

What are the document volume, the throughput - currently and expected in year, 3 years etc.? Is the company doing content management on international level, where access from multiple locations is needed - then Documentum can be good investment. What ECM system will be used for - document storage, document lifecycle or retention? Or all of the above? - Documentum works very well if all 3 items are combined, yet for storage there must be cheaper and more easily adaptable solutions available.

Use Cases and Deployment Scope

As a consultant I work with a variety of organizations in various industries, assisting them with the implementation of EMC's Documentum platform. Our projects have ranged from single departments to global corporate roll-outs. Use cases ranged from simple document version control to fully automated Event Management and content publishing environments.

Pros

Documentum's backend repository engine is probably one of the most robust, best-designed repository's currently available. While other vendors seem to constantly release new "implementations", Documentum's design has remained virtually unchanged since it was first released, yet it continues to address the content management needs of users.
Although there are many document and content management platforms available today, Documentum probably has the largest collection of modules to address varying functional needs.
Recent releases of Documentum have provided significant improvements in user-friendly development and configuration tools, making it easier to rapidly configure and deploy applications based on the Documentum platform
Documentum provides a large number of interfaces and APIs for managing the application as well as for building custom solutions/add-ons. This makes it an extremely flexible platform that can be used to build most any kind of application
Documentum's support infrastructure and the general online community is well established and broad

Cons

In the past some of Documentum's add-ons have been very difficult to use (e.g. Documentum for Outlook) and difficult to configure (e.g. ADTS and MTS).
Due to the inherent complexity of some of the add-on modules, it was likely (at least in early releases of some of these modules) that they contained difficult to isolate bugs and other anomalies. The good news is that EMC's Support Teams provide relatively good and rapid service to assist with the resolution of such issues
Documentation is probably Documentum's weakest feature. Although significant amounts of documentation are available for all components, and there are very few items/aspects that are NOT documented, the organization of the documentation sometimes makes it difficult to find what you are looking for at times.
In the past, as new add-ons were created and released, some of these ended up being short-lived (either due to users not adopting them or if it was found that the implementation was questionable). Depending on the solution, it may be advisable not to be a "first-adopter" and wait to see what happens to it before deploying it.

Likelihood to Recommend

Documentum can be applied to almost any use-case/scenario due to its flexibility and modularity. However, it does require a significant level of investment and so is probably not ideal for very small implementations.

Likelihood to Recommend

If you need robust repository with ultimate performance and no downtime go for Documentum. However, do not expect it to be the best interface for users unless you develop a custom application. EMC has done well with D2 compared to Webtop but still has a long way to go compared to the richness of the user interface provided in current times.
