Use Cases and Deployment Scope

ClickUp is the single source of truth in our content marketing company. It drives our project flows, holds relevant documentation, and automates communication and task distribution. The ability to track time, hand-off sub-tasks, and organize details without needing to perform 5 "housekeeping" tasks in the middle of project productivity is a massive win for our business.

Cons

  • Clickup is a tank! It's feature-set is extremely robust and can overload a new user.
  • Account wall/Guest access. I'd love to be able to send people more info through ClickUp without them needing an account.
  • Settings navigation: It is sometimes unclear what things need to be handled in the main settings or in specific task cards.

Likelihood to Recommend

I use ClickUp within my business for internal communication with our team and external communication with a few contractors that we work with. Given we are a remote organization, it is extremely helpful to be able to set assignees for each stage of a project and trust that the next person in line will be notified and able to easily receive the baton. I also use ClickUp at home with my wife to manage our house projects, church responsibilities, grocery lists, and anything else that requires multi-step or long-term planning.

I use ClickUp daily in my workflows. It helps me keep track of my content flows, tasks across my department, plan quarterly tasks, and communicate with complex tasks across my team.

Cons

  • Some of the UI can be complicated at first
  • fist you are repeating tasks, sometimes there are massive delays
  • when several people are collaborating at once, the view cannot manage the load and when it syncs across some work gets deleted

Likelihood to Recommend

If I want to plan out a complicated task, organize several tasks, or even associate sub-tasks and actions, this system can do it well.

It isn't the best for using the gnatt chart and most of the templates aren't out-of the-box as they could be (still require a lot of customization)

We use ClickUp for many things! We have a ClickUp form for promotional requests (project intake), which is where the majority of our work stems from. This makes it easy to turn requests into task lists and actionable workflows immediately. We use task lists and tasks to manage our daily work, establish priorities, and keep other departments updated on project progress. We use ClickUp documents for our meeting agendas, meeting notes, etc. This allows us to create tasks, communicate with other team members, and keep everything organized right from a single location. We also use ClickUp dashboards to monitor the team's workload, efficiency, and provide visibility to stakeholders on what our team is working on. We also have a wiki that is being used as a ClickUp Knowledge Base. This is a powerful tool for other departments in the organization to learn about ClickUp and quickly start using it. ClickUp is the BEST! It is so much more than a project management tool.

  • Customizable setup and views for any personal preference (works for EVERYONE)
  • The communication tools inside of ClickUp help reduce emails
  • The ability to share ClickUp forms and documents with people outside of ClickUp is powerful
  • Unlimited file size for form attachments is amazing

Cons

  • I would LOVE to be able to nest folders within folders
  • The ability to create more than one Wiki would be great
  • The ability to set up an automation where a form is converted to a task list and have it carry over everything in the form (turned into tasks) would be amazing

I have worked with so many different project management platforms, and I honestly don't see a scenario where ClickUp would not be useful.

I work in a tech company where ClickUp is being used for years for time tracking and task management, and it is the best tool out their. it is very easy to use, manages tasks like a charm. It has best features, for example the notifications, the statuses of tasks, and it has a clickbot which assigns tasks to people according to the status of tasks, so no need to hustle between assigning tasks.

  • the notifications are always very detailed yet concise.
  • we can create as many statuses as we like based on the requirement
  • the filters are amazing, teamwise, status wise etc

Cons

  • the UI is a bit cluttered which can be simplified so that it is more user friendly

if you work in a team or rather if you work as a frealncer also, it is best software. beacuse it is so easy to learn

We use ClickUp to manage our project workflows starting from task assignments to timelines. It's used in team collaboration as well as documentation. It helps us to track progress and priorities and keep the projects aligned with their timeline. Before ClickUp we struggled with scattered tools mostly excel and there was no visibility into project status. No everything is centralized and easy to access. Our use span across multiple departments including product design, development, PMO and we even share it with client to have full visibility for them.

Pros

  • Easily create custom task statuses to match our process.
  • Link Tasks using dependencies or related tasks. Create subtasks where required.
  • Log hours directly into the tasks without needing any third party tools.
  • Use of comments, mentions to keep communication within task.

Cons

  • The mobile app lacks the smoothness and full functionality.
  • Sometime we get bombarded with notifications, clubbing of notification can be done.
  • Small glitches sometimes like task status not updating right away or filters not getting saved.

I need a tool where I can put all my tasks in a simple way and take notes about them. I manage a lot of things and I need to order my mind writing down everything so I don't forget anything. ClickUP is really good at showing tasks and details about each one. Even relations between them, so I feel I'm in control.

  • The mobile app is ok, but can be better
  • The screen shows a lot of information, which is good, but until you get used to it, it may be overwhelming
  • Recurring tasks are not much intuitive

I think task management software may be really deep in options, but most people only use the surface. So the surface must be really good. I think ClickUp is good in the generic task management in any team. Just for one to keep track of things, or teams where tasks are delegated.

The major use we have is project management as we undergo significant transformations in our operational and strategic spaces. That being said, while significant, it is actually not the thing I wanted to share here. Every business has odds and ends that don't really 'fit' in a space. Too complex for conventional data files, too dynamic not to be cloud based but not structurally significant enough to warrant resources to a dedicated software solution. This is where ClickUp has been incredibly powerful for us, capturing those odds and ends within departments that need to be captured, shared, tracked and often automated without insane development cost, time or complexity. An example would be how we track the status of reoccurring report generation for our clients. As less than 3% of our clients contractually required specialised reporting data on a reoccurring basis, it is something that essential to manage efficiently and historically was in a clunky Excel workbook. There was no accountability, no way to monitor SLAs, no way to identify quickly and easily where bottlenecks in processes existed. With ClickUp, we automate the tasks, can assign and track status in real time, escalate and (my personal favourite) summarise where each report is at for quick high level updates for our executive team with the inbuilt AI functionality.

Great for project management, reoccurring task management, building trackers and keeping track of what everyone is up to. Like all software that has great functionality, having solid governance and control over access is essential. I recommend ensuring that your admins/owners have a close eye on what is going on across the space or it can turn into an unmanageable nightmare.

ClickUp allowed us to design our data and workflow in a manner that fits our way of doing things. It has empowered us as subject matter experts to bend the technical world around us, rather than us having to adjust our workflows around a standard industry template. We love the freedom to design the tech world we operate in.

Likelihood to Recommend

ClickUp is great as a relational data tool and workflow manager. It is easy to learn and is constantly adding beneficial features. It must be the no 1 SaaS platform currently available.

The system does become very difficult and time consuming to manage once you have a large number of clients, each with their own space - as any change to the architecture means you have to make the changes manualy to all.

Changing a template does not change the exisiting spaces.

Our company is a marketing, advertising, and consulting agency, but we also handle a lot of the project management for our clients. ClickUp has changed the way we track deliverables, schedules, and assignments for each of our clients -- ClickUp has also changed the way each individual team member organizes their own priorities and assignments. With our previous software, the functions and features were not all in one place, so we were using 3-4 different applications just to have the required features. With ClickUp, we now have all our desired features in one place. We have only used ClickUp since the beginning of 2025, and we are just scratching the surface in terms of the capabilities and features of ClickUp, and it has already changed the way our company operates.

Pros

  • Ability to track progress of specific projects or assignments, while still tracking the progress of a major project as a whole.
  • Assigning and delegating work - ClickUp makes it easy for each team member to track what is due and when, while also seeing the details or subtasks for each assignment.
  • ClickUp allows for us to edit, modify, and re-build documents right inside of the app, while also keeping a track record of previous edits and updates.

Cons

  • ClickUp could offer a guest access, specifically for clients who want to know progress or details of a project, without having to add as a new user or pay for access.
  • ClickUp has room for improvement with the capabilities of the Personal List, as of right now subtasks are not able to be directly added to a Personal List, which makes the upkeep of the personal list tricky when the project is large and there are many subtasks that have the importance of a regular task.
  • The notification settings could be modified, but more in detail. The user should be able to specifically customize what they get notified for, and what they don't. The current settings are in depth, but I still find myself being notified for projects or activity that I am not involved in, and the settings do not allow for me to specifically remove myself from those notifications.

Likelihood to Recommend

ClickUp is well suited for a company like ours, with multiple clients and multiple moving pieces on a daily basis. ClickUp offers an interface that keeps everything in one central location, which is extremely helpful when our company has 4+ clients, each of them having specific statuses, projects, timelines or deadlines, and lists. ClickUp has changed the way our company operates, and we are just at the starting line in terms of the capabilities of ClickUp.

Collaboration made Easy

Use Cases and Deployment Scope

We use ClickUp to streamline processes across the company - our ERP system for wholesale orders and Shopify for B2C orders are integrated with it, streamlining workflows and eliminating the need to work across multiple different portals.

The API allows us to integrate it with just about anything - we are able to automate printing, updates to the orders on the eCommerce & ERP platforms, and much more.

Pros

  • Powerful API for integrations & automations
  • Forms are particularly useful
  • Easy tracking of projects and their timelines

Cons

  • Some functionality isn't available via the API, such as interacting with Document type custom fields
  • UI is still a bit cluttered, which can discourage adoption
  • Still no two-way sync with Outlook Calendar

Likelihood to Recommend

Great for tracking projects where a team is working collaboratively, as well as tracking individual tasks. If you have some integration knowledge, ClickUp can be connected with just about anything, which really means that your only limit is your imagination!

The lack of a two-way sync with Outlook's calendar is still an issue.
